Is it cheaper to rent a party venue without food?

Hire an empty room and the cost does not vanish. It splits, into a caterer's invoice, a hire company's invoice, somebody to serve, and a Sunday morning you spend with a mop.

Whether the two columns really favour the empty room depends almost entirely on how many of those jobs you are willing to take on yourself. So it is worth costing the same party twice, item by item, using eighty guests as the example.

What a room-only price is actually buying

Read a bare hall offer closely and it rents you three things: the floor, a block of hours, and a set of keys. Sometimes tables and chairs come with it. That is usually where the list stops.

What it rarely includes is everything that turns a floor into a dinner. Table linen. Crockery, glasses and cutlery. A kitchen you are allowed to cook in rather than one you may only pass through. Anyone to lay up, serve or clear. Ice. And a cleaning standard measured against a deposit rather than against your own tired judgement at midnight.

The block of hours matters more than most people notice at the signing. If access starts at four and everything must be out by one, the decoration goes up in the same hours the caterer is delivering, and both are happening while the first guests park.

None of these is dramatic on its own. Together they explain why the two totals usually land closer than expected, and why the cheaper of them costs a day and a half of somebody's own time.

What sits inside the number at a venue with a kitchen

Ours is built the other way round. The hall fee is per person and includes decoration, sound system, projector, staff and cleaning. Menus are priced per person on top of that, the set menus Sølv, Guld, Platin and Diamant, or something written for your party. Children aged 5 to 12 pay half the menu price. Any menu can be made fully vegetarian, and drinks are your choice of none, soft drinks, or your own bottles with a small corkage. The prices page sets out the shape of it.

The kitchen is inside this building, one wall away from where you will be sitting. That removes a whole category of problem rather than only a cost. There is no delivery window to hit, nothing waiting in a warming box, no crates of crockery to count back, and refills reach the buffet because the people cooking can see it emptying. When hiring the room only genuinely is cheaper

It does happen, and pretending otherwise would be a sales pitch rather than an answer.

If the food is a token rather than the evening, coffee and cake for thirty after a ceremony, an empty room plus a bakery order is plainly cheaper. If your family cooks, properly cooks, and the aunts would be quietly offended by the idea of a caterer, then the room is the whole cost and nothing here beats it. And if you are set on one particular caterer for reasons that are not about money, the comparison was never really about money.

How to compare two offers that are not the same shape

Reduce both to one figure per guest, everything in, and the argument gets much shorter. Then ask each venue the same five questions: which hours do we have, who lays and clears the tables, who cleans afterwards, what is the deposit measured against, and what happens if ten more people accept in the spring.

Put parking in the column too. Ours is free and on site, which matters more for a bring-your-own party than a catered one, because somebody has to carry crates of glasses and bottles in from wherever the car ended up.
