What does a confirmation party cost per head?

Danish families almost never budget a confirmation as one total. They budget it per kuvert, per cover, because that is the only figure that survives a guest list which keeps moving. Two more cousins accept and the party grows by two covers. The confirmand adds three friends in March and it grows by three more.

So the question worth answering is not what the whole day comes to. It is what one cover is made of, and which parts of it you decide yourself.

What one cover is actually made of

With us the figure has two lines and no quiet third one. There is a hall fee, charged per person, and there is a menu, also priced per person. Put the two beside each other and you have your cover.

Everything the room gives you sits inside the first line: decoration, sound system, projector, staff and cleaning. On a confirmation day that counts for more than it sounds. The morning already belongs to the church and the photographs, and by the time the last guest has gone, nobody in the family should be stacking chairs. The second line is the food, and that is the one you steer. Our set menus are Sølv, Guld, Platin and Diamant, and a menu can be written for your party instead when none of the four is quite right. Any menu can be made fully vegetarian. Both lines are kept on the prices page, maintained there rather than typed into an article that would be out of date by the spring.

Why the children on your list change the sum

A confirmation gathers more children than almost any other party. The confirmand's friends arrive as a group of their own age, the cousins are younger still, and both groups are on the list because that is the point of the day.

Children aged 5 to 12 pay half the menu price. That half lands on the food rather than on the seat, which means your head count and your food count stop being the same number.

Take a list of 60. If 46 of those names are adults or older teenagers and 14 are between 5 and 12, the food is priced as 53 full menus rather than 60. Nothing else about the party changes. The room is the same room, the tables are laid the same way, and you would never see the difference from the head of the table. On the quote it is plainly there, and it is the thing families most often leave out when they try to estimate at the kitchen table.

Drinks are the line you control completely

Drinks come in three states here and you pick one of them.

• Nothing at all, which suits a short afternoon built around the meal and the cake.
• Soft drinks, where a good many confirmation parties land, because a large part of the room is too young to be offered anything else.
• Your own bottles, against a small corkage, which is what families choose when the adults want wine with dinner and the day is going to run on into the evening.

This decision moves a total more than any menu upgrade will, so make it early rather than a fortnight before. It changes what you buy, what you carry and how long the party naturally runs.

If you bring your own, the free parking on site earns its keep. Crates come out of a car boot a few steps from the door instead of being carried in from whatever space you found three streets away, and they go back the same way at the end.

What sits behind the food line at Højdevej 59

A per person menu price means different things depending on where the food is cooked.

Ours is made by Maiya Nepali Kitchen in the same building as the hall, and the cooks are also the people who carry the dishes out. The distance from pan to table is a corridor, so nothing is standing around losing its heat, and the buffet gets topped up while the queue is still moving rather than after somebody notices a tray has gone.

For your per head figure, the consequence is a short one. The food line on your quote stays a food line. It does not quietly become a delivery to schedule, a serving crew to hire and several hundred pieces of borrowed crockery to check off a list twice.

On a confirmation that is worth more than it looks. The day is already shaped around the service in the morning, the photographs afterwards and a confirmand who would like to see their friends at some point. One supplier instead of four is a real part of what you are paying for.

Work the sum on your own list

Fifteen minutes and a printed list will get you a figure you actually trust.

1. Write every name, with an age beside each child. 2. Count the covers. Everyone on the list has a seat, so this is your head count. 3. Count the menus. Adults at full price, children aged 5 to 12 at half. 4. Choose one of the three drinks states. 5. Read the two per person lines off the prices page and add them together.

That is the whole arithmetic, and it is the same arithmetic we use when we answer an enquiry, which is why the two figures should agree.
